Searching and Filtering Accounts

When looking for accounts, you have the option to apply filters for the returned results displayed. This article will walk through each of the search options available when filtering accounts.

Accessing the Accounts Filter

You can find the accounts filter by following these steps:

  1. Click Accounts using the left-hand navigation menu.

  2. Click the Magnifying Glass located above the list of your accounts to display the filter.

Using the Accounts Filter

Filtering in Ad Sales Genius is an "and" relationship. This means that if you select options for two fields, both conditions must be met in order to display in the search results.

Across the top of the accounts filter, you will find the following tabs:

Click on one of the bullet points above to be brought to an explanation of fields found on that tab.

The Main Tab

The following fields are found on the main tab:

  • Name - Use this field to search for an account by name. You can add partial values here if you want to search for accounts with similar names.
  • Shared With - Use this drop-down to look for accounts that are shared with the user(s) selected here. Note, if two or more users are selected here, the results will find accounts that are shared with any of the selected users. 
  • Not in List - Use this field to find accounts that do not appear in the list(s) selected. If multiple lists are selected here, the returned results will show accounts that appear in all selected lists.
  • Has Tag - Use this field to search for accounts that have the input tag.
  • Type - Use this field to choose whether you want the results to include Accounts, Leads, or both.
  • Assigned - Use this drop-down menu to find accounts that are either assigned or unassigned.
  • Active Status - Use this menu to look up accounts that are active or inactive. 
  • Agency - Use this search option to find accounts that are connected to the input agency.
  • Pipeline Status - Filter for accounts that belong to the selected pipeline status here.
  • Created Between - You can use this option to find accounts that were created between a time period of your choosing.
  • Sales Lock - You can filter for accounts that have a sales lock on them or accounts that do not have a sales lock applied. 
  • Comp Subscription - If you use Subscription Genius, you can find accounts that have active comp subscriptions
  • Owned By/Assigned To - Use this search to find accounts that are owned by, or assigned to, specific users. 
  • In List - Use this field to find accounts that appear in the list(s) selected. If multiple lists are selected here, the returned results will show accounts that appear in all selected lists.
  • Fair Game - Use this field to filter for accounts that are marked as Fair Game.

The Sales Tab

The following fields are found on the Sales tab:

  • Opportunity Status - Use this field to search for accounts by Deal Status.
  • Last Signed Contract - Use this field to search for accounts that have signed contracts between the selected date range.
  • No Activity For - Here, you can search for accounts that have had no activity for the selected period of time.
  • Has Product - Use this field to search for accounts that have contracts containing the specified product on them. Selecting multiple options here acts as an OR relationship. If you select two products, the search will return results that match either of the selections.
  • Has Issues - Use this field to search for accounts that have contracts containing the specified issue on them. Selecting multiple options here acts as an OR relationship. If you select two issues, the search will return results that match either of the selections.
  • Last Insertion - This field allows you to search for accounts that have line items on contracts between the selected date range.
  • Has Past Due Invoice - Use this field to search for any accounts that have past due invoices.

The Primary Address Tab

The following fields are found on the Primary Address tab:

  • City - This field allows you to search for accounts where the primary address is located in the selected city.
  • State - This field allows you to search for accounts where the primary address is located in the selected state.
  • Zip - Use this field to search for accounts that are located in a specified zip code.
  • Country - Use this field to search for accounts that are located in the selected country.

The Contacts Tab

The following fields are found on the Contacts tab:

  • First Name - This field allows you to search for accounts that contain any associated contacts with the input first name.
  • Last Name - This field allows you to search for accounts that contain any associated contacts with the input last name.
  • Title - Here, you can search for accounts that contain any associated contacts with the input title.
  • State - If you want to search for accounts that have contacts in specific states, you can enter that here.
  • Country - Similar to the State field, if you want to search for accounts that have contacts in specific countries, enter that here. 
  • Contact Status - Use this to search for accounts where one of the associated contacts has the selected Contact Status(es) applied to them.
  • Contact In List -Here, you can search for accounts where at least one of the associated contacts appears in the selected list.
  • Contact Not In List - Here, you can search for accounts where at least one of the associated contacts does not appear in the selected list.
  • Include Inactive Users - Select this checkbox if you would like your search results to include any associated contacts that have been marked as inactive.

The Custom Fields Tab

This field allows you to search for accounts that have custom fields applied to them.

Filter the Results

When you are satisfied with your selections, click the Filter button to see the returned results.

You can also save your search results as a new tab, making it easier to get to these results whenever you log into the system.

Click the Save as New Tab button to save this search filter.

You will be asked to provide a name for your newly created filter.

The new filter is saved as a tab found across the top of the Accounts window.
