Quickbooks: Why won't changes save?

If connected to QuickBooks, changes made in Ad Sales Genius invoices and payments may not save. There are many reasons for this. QuickBooks API integration reserves the right to decline any updates we send to QuickBooks. This is done to help prevent unexpected behavior in QuickBooks. In the event QuickBooks rejects the change, QuickBooks responds back with what the data should be. Ad Sales Genius takes this data and saves it to Ad Sales Genius's database, overwriting any data we have in our possession. This includes any changes you may have just made. In the event this happens, you must go to QuickBooks to make the change since QuickBooks will not allow Ad Sales Genius to perform the change.


These are some reasons why a change may not be saved:

  • Account Period Closed
  • Connection is disconnected
  • A user is logged into QuickBooks viewing the client records.
  • Invoice Number collisions. The number of the invoice being sent to QB already exists.
  • A line item on the invoice may not be mapped.
  • A payment is no longer editable.

Potential Issues with Mapping

  • Name is too long
  • May already exist in QuickBooks as a Vendor
  • Is already mapped to another account in Ad Sales Genius
  • May contain special characters not supported
  • Currencies don't match between ASG and QBO
