Mapping EXISTING Data to a New QuickBooks Online Account

In the event that you would like to map items to a new QuickBooks Online account that were previously mapped to an old account, there are some BIG CAVEATS:

When a connection is formed between Ad Sales Genius and QuickBooks Online, the Ad Sales Genius accounts in question will always think that they need to be connected to the first QuickBooks Online account. 

If you are wanting to move accounts to a new QuickBooks Online environment, contact ASG support so we can wipe all accounting info out of Ad Sales Genius and then connect to the new environment.

This process requires assistance from Ad Sales Genius, so please reach out to support.

Here are the steps that would need to be followed:

  1. The client needs to identify what the cutoff date is for invoices and payments that belong to them. For example, if a new entity purchases an existing ASG company on July 1st, 2021, that is the cutoff date.
  2. The client exports Invoice and payment info from ASG starting at the cutoff or acquisition date.
  3. The client pulls a list of unpaid invoices that they will be taking over.
  4. The Ad Sales Genius rep clears out accounting data from the client's Ad Sales Genius profile.
  5. The Ad Sales Genius rep will perform a hard reset of the mappings on the QuickBooks Account.
  6. The client disconnects the old QBO file.
  7. The client imports Invoice and payment data pulled from Ad Sales Genius into the new QuickBooks Online account
  8. The client sync the new QuickBooks Online account with Ad Sales Genius
  9. The client maps their products, line items, payment types, and accounts as described in the linked articles
