Adding a User

Users in Ad Sales Genius are your employees that will be using this software. This article will discuss how to add and configure users to ensure they have the proper roles configured.

STEP BY STEP INSTRUCTIONS: 

To add a user in Ad Sales Genius:

  1. Admin users can navigate to their User Profile and select Users.

  2. Click the + Add User button to display the New User window.

  3. You will then be prompted between three choices.

    - Remove a user and assign their licenses to a new user: Delete a user from the previous page and you will be able to add another one with no cost adjustment
    -Adjust your subscription to add a new user: This will add a user to your current contract rate. This user will not be able to be adjusted until your renewal of your contract
    -Add an adhoc temporary user license to your subscription. The user can be removed at any time $149/user/month/prorated: this user is not contracted and can be removed at will

  4. Enter in the user's credentials. 
    • First Name
    • Last Name
    • Email
    • Phone 
    • Password:  Remind your new user to change their initial password upon logging in the first time. Share this article with newly created users: How to Change your Password
    • Select the user's Primary Role from the drop down. 
      • Accounting: This role enables all of the Accounting reports. Limited access to Sales Management reports.
      • Administrator: This is for the primary decision-makers of your account. This role has access to all reports. This is the only role that has access to Settings and has the ability to add/edit Products on the backend of your account.
      • Owner/Decision Maker: is the person or group of individuals responsible for making strategically important decisions based on a number of variables, including time constraints, resources available, the amount and type of information available and the number of stakeholders involved.
      • Production: Intended for users involved in the production of campaigns of various media, including magazines, newspapers, television ads, exhibits, displays or digital advertising.
      • Sales: Intended for a Sales Representative. Limited access to Accounting reports and Marketing reports and no access to the Sales Management reports. 
      • Sales Manager: Intended for a Sales Manager/Sales Director. This grants access to all Sales Management reports and limited access to Accounting reports. More options within the Marketing area. Activate the Sales role in addition to this one. 
  5. Enable User Roles for more user permissions. 
    • Administrator - This is for the primary trusted decision-makers of your account. This role has access to all reports. This is the only role that has access to Settings and has the ability to add/edit products on the back-end of your account.
    • Sales Manager - Intended for a Sales Manager/Sales Director. This grants access to all Sales Management reports and limited access to Accounting reports. More options within the Marketing area. Activate the Sales role in addition to this one.
    • Sales - Intended for a Sales Representative. Limited access to Accounting reports and Marketing reports and no access to the Sales Management reports.
    • Reporting- This role provides access to the reports functionality.
    • Accounting - This role enables all of the Accounting reports. Limited access to Sales Management reports.
    • Delivery/Production - This role should be activated with the Content role. These roles limit access to Accounting and Sales Management Reports. This role should be limited to the Delivery team; those who create and complete Ad Requests, Ad Proofs, and the Flat Plan.
    • Studio: Access to Studio services in Ad Sales Genius. Learn more here: Using Studio Services
    • Editorial Manager: These roles should be activated together; they go hand in hand. These roles limit access to Accounting and Sales Management Reports. This role should be limited to the Delivery team, who creates and completes Ad Requests, Ad Proofs, and the Flat Plan.
5.  Enable Additional Permissions to allow access to export contacts or allow a user to import data. 
    • Account Support - Under the Account Support section, enable a dependable user's help desk access.  The Help Desk Access feature is also known as your Account Support Contact. User's with the help desk access feature enabled, will be able to connect with the Ad Sales Genius support team through live chat.  Submit tickets, get real time answers to questions and report bugs on behalf of your account. Each account is granted one Designated Support Contact for every 10 users. 
    • Setup Reporting Structures and Group Access 

6.  Finally, select SAVE in the bottom right hand corner and let the new user know their credentials.
